Work-Study Supervising Tip: Using “Tasks” on Student Time Cards to Document Work Performed

Dear supervisors,

Documenting work performed by student workers is critical to Clarkson in the event of a federal audit – especially while students are working remotely.

To make your role as a manager easier, the student time card system includes the ability to log tasks for each punch in/out so you or the student worker can easily document the task performed during hours worked.

All you need to do is follow the step-by-step instructions (including screenshots!) on pages 13-15 of this document.

You can add as many “tasks” to your department’s time cards as needed: For example, you can add tasks like, staff meeting; supervisor meeting; research; virtual event; social media. After tasks are added, both students and managers are able to select the appropriate task from a drop-down list for each punch.

This simple setup requires less than five minutes of your time and will save you plenty of time on each time card. Plus, you can then run reports for your department to determine how much funding is going toward each task assigned to student workers.
