This note serves to remind you of the appropriate process for purchasing computing hardware. Purchasing laptops, desktops, monitors and other computer equipment with University funds, including with funds from research grants, must be made through the University’s centralized Computer Equipment Purchase Program.
Purchasing from independent retailers, such as Amazon or BestBuy, are not permitted unless approval from the Vice President for Information Technology & Libraries is obtained prior to the purchase. Reimbursements of improper purchases will be denied.
Centralized purchasing maximizes the financial resources of the University–it ensures that hardware is compatible with campus computing standards and existing software platforms, that purchases meet environmental and efficiency standards, and that hardware is appropriate for the work being performed. Independent purchases can be risky, and in the end, more costly. Obscure components and limited service agreements increase support costs for you and the University.
